Need a preceptor fast: what's possible with the weeks you have left
Count the weeks until your clinical course opens, because that number decides which options are still real. UTA's steps can't be skipped, so a fast placement comes from picking a preceptor at a site that is already able to take UTA students, not from trimming the process.

Count the weeks first
Find the date your clinical course opens in your MyMav degree plan and UTA's online calendar, then count the weeks from today. In the online format an NP clinical course lasts 11 or 13 weeks (see the online clinical schedule), and every one of its hours has to fit inside that span. UTA waives none, so a late first day doesn't reduce the hours; it only reduces the weeks. Post-master's certificate students run on a separate online calendar, so use your own dates.
Then look for an earlier date. Each course in Exxat MyRequest carries a Wishlist close, and the number of requests you can file for it has both a floor and a ceiling. If the Wishlist closes before the course opens, that is your real deadline.
What UTA's process won't let you skip
None of these gates has a published express lane, and some belong to the site rather than to UTA.

Urgency doesn't reorder the steps. Plan on approval, the preceptor's signature and UTA's contract with the site all being settled before your first clinical day.
12 weeks or more: a full search, aimed carefully
You're inside the 12-to-16-week window UTA's online FAQ recommends, so a normal search is still possible. The risk at this distance is spending weeks on a site that can't be ready in time.
Large health systems plan months ahead. UT Southwestern takes requests for spring APRN rotations from May 1 to August 31, and CHRISTUS Trinity Mother Frances in Tyler wants requests by November 1 for rotations starting after December 1. If a hospital's window has closed for your term, move on rather than wait.
Put your effort into outpatient practices and clinicians who already know you, and raise the affiliation agreement early in each conversation. Write to your Clinical Coordinator now as well: UTA offers help to students experiencing difficulty, and twelve weeks gives that help room to work.
6 to 12 weeks: only sites that can say yes quickly
In this band, an agency that needs a brand-new contract is usually out of reach. UTA gives no processing time for new affiliation agreements, and where Texas systems do publish one it runs to weeks or months; affiliation agreements has the figures.
Your checklist for this band
- Ask your Clinical Coordinator, in writing, for assistance under UTA's Difficulties policy, and say how many weeks remain.
- Chase only preceptors at agencies where your coordinator can confirm an agreement that covers your program.
- Have each candidate's CV and license details ready before you submit.
- For the FNP Clinical Practice courses, consider two preceptors: a 2024 revision of UTA's FNP guidelines, which we've only seen quoted in a search result, prefers one and accepts two.
- Time the drug test and background check so both land inside the final 30 days and post in Exxat before day one.
Under 6 weeks: the honest options
With less than six weeks, count on a new site not being ready. Even agencies that already host UTA students run their own onboarding. UT Southwestern needs a letter of attestation from UTA a full 30 days ahead, and your system access there can take up to a month to build, while Children's Health has its hosting department file for non-employees three weeks or more in advance. The rest are on DFW hospital onboarding. Three paths remain, and you can work them together.
- A preceptor at a covered site. An outpatient practice or unit where your coordinator confirms UTA already has an agreement is the route most likely to still work this term.
- UTA's assistance. Tell your Clinical Coordinator today how many weeks remain. The help has no published timeline, so every day counts.
- A later start. UTA doesn't publish what happens when a clinical course can't start; a search excerpt of its 2024 FNP guidelines says students who miss the deadline before the semester shift to the following course start. Ask your advisor how a move changes your sequence;

If it comes to that, use the extra weeks to line up the next term completely, backup preceptor included.

Questions UTA students ask
Can I start my clinical course late and catch up on the hours?
UTA's public pages don't describe starting a clinical course late, and they're firm that no hours are waived. A late first day means the same hours in fewer weeks, which your preceptor's schedule may not allow. Ask your course faculty before assuming a late start is permitted.
Does working at a hospital help me get placed there faster?
It can. UT Southwestern's placement guidelines give first preference to its own employees and second to staff of Children's, Parkland and Texas Health. Being staff doesn't skip UTA's steps, though: you still need an affiliation agreement, approval, and a preceptor outside your department who isn't your supervisor. Is a virtual placement quicker to set up?
Not necessarily, and it isn't always available. A virtual arrangement still needs UTA's approval, and under the handbook the minimum hours have to come from direct patient care; simulation and observation only count beyond it. UTA's sources don't address telehealth. Ask your course faculty whether your course accepts a virtual option before you plan around one.
What if my course opens next week and I have nobody?
Write to your Clinical Coordinator and course faculty today, with your course number, start date and every lead you have. Approval and a signed Preceptor Agreement are both due before day one, so ask plainly what happens to your enrollment if that can't happen, and whether a later start is the better plan.
Can I submit several preceptors at once to improve my odds?
There is some room, but a limit: per the MyRequest guide UTA hosts, each course has a floor and a ceiling on how many requests you can file. Spend them on candidates you've already screened for license, time in role, setting and site agreement, not on names you haven't checked.
