UTA clinical placement timeline: when to start and what comes due

The short answer: earlier than you think

UTA gives two answers on its online FAQ page, and they point the same way. In its General MSN section, UTA's answer to when you should find a preceptor is “As soon as a student starts the program,” with a deadline of “no later than while in Pharmacology.” Elsewhere the same page recommends starting to look “12 to 16 weeks in advance of their first clinical course.”

We'd treat the first as the plan and the second as the last safe moment to begin. For NP students, the pharmacology course in the current catalog is NURS 5334 Advanced Pharmacology for Nurse Practitioners, one of the didactic courses taken before clinicals. Online FNP clinicals don't begin until the second year of the program, so the stretch between enrolling and needing a preceptor is real time you can use.

Students report the same pressure: in a 2019 forum post, a UTA FNP student said an advisor had recommended starting six months before the first clinical, and that many FNPs were booked several semesters out.

The clearance clock: 60 days, then 30

Clearance runs on its own timer, starting at the front of the program, and UTA's documents word it two ways. The Graduate Nursing Clinical Clearance Requirements policy, last approved 1/7/2022, says students must be compliant “within 60 days of being admitted.” The Exxat page instead runs the 60 days from “beginning the first graduate course,” and leaves out the background check and drug screen. If the gap between those dates matters for you, work to the earlier one or ask.

The background check and drug screen run the other way. UTA wants both inside the final 30 days before your first clinical course. Put them in your last month, not earlier. Each item is covered on our UTA clinical clearance page.

Compliance also has to hold for the whole program. A lapsed item late in the timeline can delay a clinical course as surely as a missing one at the start.

The slow parts UTA doesn't time

Two steps sit outside UTA's calendar: the site's affiliation agreement and the site's own onboarding. UTA gives no processing time for a new agreement, and health systems that do publish figures talk in weeks and months. Our page on UTA affiliation agreements collects them.

Hospital onboarding has its own lead times, and several Texas systems publish them:

• UT Southwestern's window for fall APRN rotations runs January 1 to March 31, with decisions by April 30.
• Houston Methodist's application deadline for fall is July 15; requests outside its process are not considered.
• CHRISTUS Good Shepherd wants preceptor applications 60 days before the requested rotation.
• Baylor Scott & White requires its student orientation within 90 days before the rotation starts.
